What You Need To Know When Booking Transportation For Prom

Here are some useful tips for when it comes time to book your own set of luxury wheels. You see, there are tricks to the way limousine companies operate, which are not always visible to us, the customer. But don't worry Promtime.com is here to explain basic limo information so that partygoers and graduating seniors have the best, smooth, and memorable prom or event of their young lives.

1) Who's going in the Limo?

Start out by asking yourself some basic information? How many people will be in the limo? When is the date for your event and what are the start and end times that you want your limo or limos for? Once you know who's coming along for the ride, you can start calling around for prices. Most limo companies will suggest a variety of options to meet your needs, but here are some of PromTime's suggestions for a pleasurable and comfortable limo ride.

We all know that when we rent a limo it's for show 99% of the time, and not for comfort. So if you have a large group that is also heavy in size, consider renting a limo bus, or you will be packed like sardines in a can. Sure, they may not look all pretty from the outside, but don't rule them out and never judge a book by its cover. Inside these limo buses are bursting with elegant options. In addition, coaches are not only very comfortable, but they allow you to move around much easier than the smaller limos, so all you girls out there that spent hundreds of dollars on your gowns won't get them wrinkled.

2) The speed of your trip?

Another factor to look at is how fast you want to get from point A to point B? If you're planning to transport a really large crowd of people and you want to get from point A to point B fast then ordering a huge hummer limo is not your best bet. Not only will these limos cause traffic, but if there is traffic in front of you, there is no way to get around, backup, or turn the car around. The glitziest and most popular choice for large groups of party goers (14-20 people) is the long stretch limos, such as the Lincoln Navigator, or the Cadillac Excursions. Not only are they beautifully equipped on the inside, these vehicles will capture anyone's attention. Not only are they big enough for comfort and style, but there just the right size to get through a gap, or make a turn to avoid any car traffic.

Which ever style or size of car you choose, they will all probably come with standard amenities. Pretty much all limousines are equipped with a stereo system, DVD player, television, ice coolers, and some sort of bar. Then there are those specialty limos that include a dance floor, and hot tubs. Expect the price to mirror the "Wow" factor. Prom Times advice for your limo service is, the simpler the better, because virtually any company you call will try to sell you on the next highest more expensive option.

Don't be gullible and naïve, stick to the real needs that you want to get out of the limo service, paying close attention to how long you are going to spend in that limo, how much comfort and style you need, and of course how much of a scene you want to make? Remember everyone is trying to make an extra buck off of everything nowadays, so don't let that extra buck come off of you, here is the Promtime.com to-do list on how not to get scammed and what to watch out for while searching and purchasing your limo.

  1. Inquire about the number of years the limousine company has been in business. Experience is a key factor. Companies that have been in business for a number of years will most likely be more reliable and provide better service than those with little or no experience.
  2. Inquire about the limousine company's license and operating authority. Limousine and transportation companies are required to have federal authority to operate their vehicles from the Department of Transportation as well as local State operating authority. Limousine Companies with such licenses are regulated and thus more likely to provide the consumer with good service.
  3. Inquire about the limousine company's Insurance. There are unfortunately numerous companies around that do not carry the proper commercial insurance coverage on their fleet to protect the consumer in the event of an accident or other mishap. A reputable Limousine Company will have the required commercial insurance coverage and will have no problem providing you with a Certificate of Coverage, if asked.
  4. Inquire about the limousine company's affiliations with reputable organizations such as the Better Business Bureau, The National Limousine Association, as well as their local Livery Association. Memberships with any of the above and other related organizations are an indication that you are dealing with a professional, reliable company.
  5. Inquire about evidence of the companies performances from past clients. Excellent references from other customers will minimize the possibility of service problems.
  6. Ask to see the vehicle(s) you are inquiring about. If you don't have time to go and visit the limousine company's showroom personally, ask the company to email photo(s) of the limo(s) and other vehicle(s) you are interested in. This will ensure that you will not end up getting an old rundown limousine in lieu of the new white super stretch you were led to believe you would have. Be sure to check the year of the limousine, year, make and model as well as the amenities inside the limousine such as moon roof, tinted windows, fiber optic lights, TV, VCR, CD player, plush bar, and any other items you are interested in having in your limo.
  7. Inquire about the size of the limousine you are interested in.
  8. If renting more than one vehicle, i.e. a limousine, a bus, be sure to ask about discounts that may apply on the second vehicle. Many companies offer special discounted rates for multiple reservations.
  9. Inquire about overtime charges and overtime availability. Many limousine companies will charge you a full hour even if your time runs for example 10 minutes over the contracted time. Be sure to ask if it is possible for the company to charge the overtime rate on 15 minute or 30 minute increments in the event of overtime. If your event ends early enough, most limousine companies will schedule subsequent jobs after your scheduled event. Because proms are not always predictable, you may need the service longer than anticipated.
  10. Be sure to ask about your chauffeur's gratuity. Most companies have a mandatory gratuity policy for their drivers which is usually anywhere from 15% to 20%. Check your contract to ensure you do not pay duplicate gratuity. Ask the availability of the company in the event their services are needed after the contracted hour ends and get this agreement in writing, if possible.
  11. Inquire about the company's starting time policy. With a majority of limousine companies, your time starts at the time of the initial pickup. Others may charge you from the time the Chauffeur leaves the garage. We also suggest you inquire about travel time. Some limousine companies will charge you travel time if your pickup location or destination is further than a certain amount of miles. Be sure to clarify the extent of all travel time charges prior to making your reservation.
  12. Inquire about the limousine company's prom packages. Most companies run special prom rates during certain months of the year.
  13. Inquire about your chauffeur. Check to see if your chauffeur has experience driving to and from prom. Obtain the name of your chauffeur and a cell phone number, if possible.
  14. Once you have selected a limousine company to provide your service, ask for a detailed contract of your reservation. Your contract should include the date of service, the time of pickup, number of hours you have reserved the vehicle, the year, make, model and color of the vehicle, the total price of the contract, including driver's gratuity, overtime charges, and routing information, i.e pickup and drop off locations. The contract should also contain language detailing the company's policies regarding cancellations, deposits, and the company's liability in the event they are unable to provide the service.
  15. Although many companies will call you prior to your reservation to review the itinerary and details of your reservation, if you have not heard from the company 48 hours prior to your scheduled event, contact the company to review the details and amend any discrepancies.
  16. Inquire whether the limousine company will have a live person available during the scheduled event, should you require any assistance. If not, be sure to obtain a contact phone number of an operating manager or other individual in charge.

With these tips and crucial information, Prom Time hopes you have a great and successful prom or party. Have fun and remember to stay safe!
